1. Overview

This Privacy Policy explains how [Your Legal Entity Name] ("WisprBee", "we", "us") handles personal information when you use our app and website (wisprbee.com). We built WisprBee around a simple principle: your voice is processed to give you text, not to profile you.

2. Who we are

[Your Legal Entity Name] is the data controller for personal information processed through the Service. You can reach us at [email protected] or [Your Registered Business Address].

3. Information we collect

  • Account information — such as your name and email address, if you create an account.
  • Subscription & payment information — handled by our reseller Paddle. We receive limited transaction details (e.g. plan, country, last four digits, invoice records) but never your full card number.
  • Usage & diagnostics — how you interact with the app, feature usage, crash and performance logs, and settings.
  • Voice & text content — see the dedicated section below on how audio and text are handled.
  • Device & log data — app version, operating system, and technical identifiers needed to run and support the Service.

4. Voice, transcription & AI processing

This is the most important part of how WisprBee works, and where we protect you most:

  • Cloud transcription. To turn your speech into text, your audio is sent over an encrypted connection to our speech-to-text providers (routed through OpenRouter to OpenAI and Google models — see sub-processors) and returned to you as a transcript. If those services are unavailable, WisprBee can fall back to an on-device model so dictation still works offline.
  • Text polishing. To format and clean your transcript, the resulting text is sent over an encrypted connection to our AI processing provider (OpenRouter) and returned to you.
  • No training without permission. Your content is used to provide the Service to you. We do not sell it, and we do not use it to train AI models without your permission.
  • We don't keep your audio. Your recordings are used only to produce your transcript and are not retained by us after processing.
  • Local by default. Your dictation history, personal dictionary, snippets, and settings are stored on your device unless you turn on cloud sync.

You control how much of the Service you use and can delete your local history at any time.

5. How we use information

We use personal information to:

  • Provide, maintain, and improve the Service;
  • Process subscriptions and provide customer support (with Paddle);
  • Communicate with you about your account, updates, and security;
  • Detect, prevent, and address fraud, abuse, and technical issues;
  • Comply with legal obligations.

6. Legal bases (EEA/UK)

Where the GDPR or UK GDPR applies, we process personal information on the bases of: performance of our contract with you (to provide the Service); our legitimate interests (to secure and improve the Service); your consent (where requested, e.g. certain communications); and compliance with legal obligations.

7. Sharing & sub-processors

We do not sell your personal information. We share it only with service providers who process it on our behalf under appropriate safeguards:

  • Paddle — payment processing and Merchant of Record for subscriptions.
  • OpenRouter — AI gateway that routes your audio and text to the model providers below for transcription and polishing.
  • OpenAI — speech-to-text model used (via OpenRouter) to transcribe English and other Latin-script languages.
  • Google — speech-to-text and text-polishing models used (via OpenRouter) to transcribe other languages and clean up your text.
  • [Hosting / infrastructure provider] — to operate our website and services.
  • [Email / support provider] — to communicate with you.
  • [Analytics provider, if used] — to understand aggregate usage.

We may also disclose information if required by law or to protect our rights, users, or the public.

8. Data retention

We keep personal information only as long as needed for the purposes above, to comply with legal obligations, resolve disputes, and enforce our agreements. Locally stored content remains on your device until you delete it or uninstall the app.

9. Security

We use technical and organizational measures to protect personal information, including encryption in transit. No method of transmission or storage is completely secure, but we work to protect your data and to keep your raw transcript recoverable so your words are never lost.

10. Your rights

Depending on where you live, you may have rights to access, correct, delete, or port your personal information, to object to or restrict certain processing, and to withdraw consent. If you are in California, you have rights under the CCPA/CPRA, including the right to know, delete, and opt out of "sale" or "sharing" (we do not sell your data).

11. International transfers

Your information may be processed in countries other than your own, including where our providers operate. Where required, we rely on appropriate safeguards (such as Standard Contractual Clauses) for international transfers.

12. Children

The Service is not directed to children under 16, and we do not knowingly collect personal information from them. If you believe a child has provided us information, contact us and we will delete it.

13. Cookies

Our website may use essential cookies to function and, where you consent, analytics cookies to understand usage. You can control cookies through your browser settings and any consent banner we provide.

14. Changes to this policy

We may update this Privacy Policy from time to time. We will change the "Last updated" date and, for material changes, provide additional notice where appropriate.
